We are YWAM (Youth With A Mission) Urban Key London Ministries registered charity number 1168311 (a daughter charity of Youth With a Mission England, registered charity number 264078 and registered company 1049516), hereinafter referred to as “we” or “us” or “our” or “YWAM Urban Key London Ministries.”

We are committed to protecting your personal information and being transparent about what we do with it, no matter how you interact with us. We respect any personal data you share with us. We aim to be clear when we collect your personal data and not do anything you wouldn’t reasonably expect. This applies to you whether you want to join our team full-time, receive ministry training, volunteer, advocate for us, donate, attend our events, want information or want to learn more about what we do as you will have contacted us through contact forms, payment forms or online applications.

INFORMATION THAT WE COLLECT ABOUT YOU AND THE LAWFUL BASIS FOR PROCESSING

We may collect information about you as shown below. We may also process, store, transfer or modify data that has been grouped together.

Identity Data: given names; DoB, place of birth; gender; nationality (but not race or ethnicity); passport details. Enrollment Data: education and vocational experience; language skills; character references; interview data; application decision data. Special Categories of Data: religious beliefs; information about your health; marital status; financial information.

LAWFUL BASIC

Article 6: (a) Consent: the individual has given clear consent to process their personal data for a specific purpose.

Article 6: (b) Contract: the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract. (c) Legal obligation: the processing is necessary for you to comply with the law (not including contractual obligations). (f) Legitimate interests: the processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individuals personal data which overrides those legitimate interests.

Article 6 (b) Contract: the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract.

Donations are processed based on article 6 (a) Consent: the individual has given clear consent to process their personal data for a specific purpose. Invoices and payments are processed based on Article 6 (b) Contract: the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract.

It is also possible that we may process your personal information via more than one lawful basis depending upon the purpose for which we are using it. If you have questions about the lawful basis by which we are processing your data, please contact us at gdpr@ywamurbankey.com.

Sometimes we aggregate data such as statistical metrics or demographic information stemming from your personal data. It should be noted that statistical and demographic data is not personal data when it does not directly or indirectly reveal your identity. Only when statistical data is combined with personal data will this Privacy Notice apply. 

In some instances, such as when you complete an application for one of our training courses, we may receive sensitive data about you, which may be defined differently in various countries. Using Article 9 of the GDPR as a baseline, this data, if provided, may be associated with your religious or philosophical beliefs, or could include information about your health. If you provide us this information, you do so by choice and under no compulsion whatsoever. We commit to safeguard your data and provide it adequate protections, and will only use it according to the purposes set forth in this Privacy Notice and according to legal limitations.

YWAM Urban Key London does not sell, rent or lease its contact lists to third parties. We may, from time to time, contact you on behalf of external , relevant ministry partners about a particular opportunity that may be of interest to you. In those cases, your unique personally identifiable information (e-mail, name, address, telephone number) is not transferred to the third party. In addition, we may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, arrange for deliveries, provide application support, or support with other enquiries.

All such third parties are prohibited from using your personal information except to provide these services to YWAM Urban Key London and they are required to maintain the confidentiality of your information.

EXPLANATION OF LAWFUL BASIS

Many laws around the world require to show it has properly considered which lawful basis applies to each processing purpose. It also requires controllers to justify the decision. Toward that, and using EU GDPR definitions below, the following lawful basis applies to processing activities noted in the table above.

YOUR SECURITY

We have put into place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those staff, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

HOW LONG WE WILL USE YOUR DATAY?

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes. With respect to information you provide to us in relation to an application, we may keep this information for up to twelve years to make the processes by which we evaluate and assess candidates more efficient.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

WHAT WE MAY NEED FROM YOU

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response. We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
